Process

Four steps — all from home

We operate under the Polish Sworn Translator Profession Act of 25 November 2004. Every translation is personally reviewed and certified by a sworn translator entered on the Ministry of Justice list. Machine translation tools play only a supporting role — legal and substantive responsibility lies with the translator.

    Approve the quote

    You receive an email with the summary, deadline and price. You pay online (BLIK / card / transfer). Data is processed under a data-processing agreement (GDPR Art. 28) and professional secrecy.

    Translator works

    An initial draft is produced with a secure machine-translation tool inside the EEA (Azure OpenAI, EU region). Your data is not used by public models or for training.

  4. 04

    Review and certification

    The sworn translator reviews the text sentence by sentence, edits, signs with a qualified electronic signature and records the job in the repertorium. You receive a PDF/A file by email.

An electronic sworn translation (with qualified e-signature) has the same legal force as the paper version — Art. 18(1a) of the Act. If the receiving office requires paper, we courier the original.

An invoice is issued automatically after payment. The seller is exempt from VAT pursuant to Art. 113(1) of the Polish VAT Act. Statutory rates for court, prosecutor and police orders are applied as required by law.

The certification clause complies with Art. 18, clearly stating whether the translation was made from the original or a copy/scan and whether a machine-translation tool was used during preparation.

Frequently asked questions

Yes. Under Art. 18(1a) of the Act, the translator may certify the translation with a qualified electronic signature, and such a document has the same legal force as the paper form. The PDF/A file with a qualified signature is accepted by offices, courts and most German Behörden.
Yes — provided the tool is auxiliary, data does not leave professional secrecy, and the sworn translator personally reviews, edits and certifies. We use only models in Microsoft Azure (EU region) under a data-processing agreement (GDPR Art. 28). Text is not used to train models. We do not use public tools (ChatGPT, DeepL Free, free Google Translate).
Short documents (1–2 pages, templated like a birth certificate) — yes, express in business hours. Longer or specialised documents require translator hours because certification is full legal and civil responsibility.
Under Art. 18(2), the certification clause must state whether the translation was made from the original or a copy/scan. Translation from a scan is fully lawful, but some offices require translation “from the original”.
We process it as the controller to fulfil the order. The translator is bound by absolute professional secrecy (Art. 14). Documents are stored in Azure Blob Storage with encryption, in the EU region, for the periods required by law.
Payment by BLIK, card or online transfer. An invoice is issued automatically after payment and emailed to you (seller is VAT-exempt under Art. 113(1) of the Polish VAT Act). For companies — provide the VAT ID in the form.
